AI receptionist setup cost: what will your first launch require?

An AI receptionist can have no separate setup fee and still require money and office time before the first customer call. Build two numbers before buying: the cash you must commit to launch the agreed scope, and the recurring cost after launch. Neither number is established by a free account or a short setup estimate.

Published by Revo, a competing AI answering provider. This guide uses public documentation reviewed October 30, 2026 and an explicitly fictional budget. It is not a vendor implementation test, a market-average price or a quote for your business.

Separate a setup fee from the plan that includes assistance

NextPhone's published pricing provides a useful distinction. Its comparison lists no setup fee for Pro, Growth or Scale. Pro is displayed at $199 per month with self-configuration; Growth is $299 per month with the provider describing agent building, testing and tuning. Those are different recurring offers. The $100 monthly difference is not a $100 one-time setup charge, and this example does not establish equivalent scope between plans.

For any supplier, obtain the exact product, billing interval and required plan. Record whether the quoted assistance is included, optional or separately priced. Leave an undisclosed amount blank until it is confirmed; blank does not mean free.

Use a launch-cost sheet, not one combined total

Copy this worksheet for each offer. Use the same intended reception scope and the same budget period so a smaller launch is not accidentally compared with a larger one.

Budget lineEvidence to requestWhere to put it
Required setup or configuration chargeWritten amount, included tasks and payment dateOne-time supplier cash
First required subscription paymentPlan, billing interval and when paid service beginsCash due before launch; recurring run-rate
Additional required phone or software serviceWhich account is required and who pays itRecurring run-rate and any first payment
Optional configuration or connection workWhy it is optional, deliverable and separate quoteSeparate optional line
Paid office preparationApproved paid hours or contractor invoice attributable to launchOne-time incremental cash
Owner or salaried staff timeEstimated hours and the actual work displacedResource estimate, separate from incremental cash
Taxes, deposits and other unconfirmed chargesApplicable amount, refundability and due dateUnresolved until confirmed

Do not add a first monthly payment twice. It belongs in the cash-needed view because it may be due before routing customers, and in the recurring view because it repeats. These are two views of the same payment, not two payments.

An existing software subscription also needs careful treatment. If it continues unchanged, its full price is not necessarily a new launch expense. If the proposed workflow requires an upgrade, identify the incremental amount and its effective date. Ask which connected actions the selected plan actually supports before paying for configuration.

Work through a fictional first-launch budget

The following numbers are invented solely to demonstrate the worksheet. They are not Revo prices or another supplier's offer. Assume a fictional monthly plan costs $120, has a one-time $80 configuration fee, and requires no additional phone or software subscription. The business authorizes three additional paid preparation hours at $25 per hour. There is no tax, deposit or usage charge in this simplified example; a real budget must resolve those items.

Fictional componentBefore-launch cashLater monthly run-rate
First monthly subscription$120$120
One-time configuration$80$0
Additional paid preparation: 3 × $25$75$0
Known modeled total$275$120

Across three monthly payments, this model totals $120 × 3 + $80 + $75 = $515. Do not add the $275 launch figure to three further monthly payments unless you intentionally mean four paid months.

Suppose the owner also expects two hours to approve business instructions. Record those hours beside the budget. They are not another $50 cash payment unless the business actually incurs that additional payment. If you assign an opportunity-cost value for internal planning, show the assumption separately and avoid presenting it as money billed by the supplier.

Decide which costs buy the launch you need

For a residential service office, distinguish message-taking readiness from a supported booking workflow. Ask what must be configured, what your team must supply and which person accepts the result. A lower initial amount may buy a narrower scope; it does not prove better or worse value by itself.

Attach a deliverable to every configuration charge: the approved instruction set, supported calendar behavior, recipient arrangement or other agreed output. Include an owner and the evidence required before that work is accepted. The separate onboarding readiness guide helps organize dependencies; this budget answers the financial commitment question.

Compare the plan you can maintain, not just the one you can activate. If paid assistance repeats, place it in recurring cost. If later changes are separately quoted, keep that uncertainty visible. This guide does not calculate savings or prove a payback period.

Where Revo fits

Revo's current pricing lists dedicated onboarding for Crew and Fleet, while Solo excludes it. That distinction does not establish a separate setup charge, a completion time or every supported connection. Confirm the actual assistance and required plan for your workflow. Do not convert a competitor's setup policy into a Revo promise.

Frequently asked questions

Does no setup fee mean a zero-cost launch?

No. A required subscription payment, separately purchased service or incremental paid preparation can still require cash. Confirm the applicable offer and your own costs.

Should annual prepayment be divided by twelve in the launch budget?

Use the amount actually due in the cash-needed view. A monthly equivalent can help compare recurring rates, but does not reduce the cash commitment due upfront.

Can I budget a missing fee as zero?

No. Keep it unresolved, identify who must answer and decide whether it blocks your purchase. A provisional total is not an all-in quote.
