Barbara's Answering Service: reconcile the plan and call instructions
Before accepting Barbara's Answering Service, put your selected plan and the instructions your office approves beside each other. A subscription can identify the price while leaving a practical question unresolved: who receives a routine request, and what happens when the first recipient is unavailable?

Read the selected subscription before comparing prices
Barbara's public service agreement displays these figures:
| Selected subscription | Monthly fee | Included minutes | Displayed per-minute rate |
|---|---|---|---|
| Business Advantage | $135.20 | 100 | $1.22 |
| Professional Edge | $231.20 | 250 | $1.14 |
| Enterprise Plus | $479.20 | 500 | $0.95 |
These are dated page figures, not a guaranteed quote. The rate label does not establish the complete additional-usage calculation. Request a written example covering billable time, rounding, extra usage, taxes and other charges before estimating a total.
The agreement describes live answering and/or voicemail, caller information collection and message delivery under approved instructions. It specifies a one-month minimum from the agreed start and written cancellation notice at least 30 days before the requested end. Read the terms supplied for your purchase; this guide does not interpret your legal rights.
Reconcile three records before acceptance
Use three columns in your purchase file: the selected subscription, your approved instructions and the version you are accepting. Every material difference needs an answer. For example, an office might approve message taking but expect appointment confirmation. Resolve that expectation before treating the purchase as ready.
Barbara's form separates company/start details, staff instructions, on-call notification, non-emergency handling and signature. Review the form alongside the agreement.
The worksheet below is an office review method. Its acceptance checks are proposed checks to arrange with a supplier, not tests we performed or promises about available features.
| Reconciliation item | Write into your purchase file | Evidence to request before accepting |
|---|---|---|
| Selected plan | Plan name, quoted fee, included usage and offer date | The accepted subscription matches the written offer; unresolved billing questions have answers |
| Start and office hours | Intended service start, office hours and closed-hours instructions | Both sides identify when the approved version takes effect |
| Greeting and intake | Approved wording and minimum facts needed for a routine request | An agreed sample message contains the requested facts without adding a diagnosis, price or promise |
| Urgent notification | Your approved definition, first recipient, contact methods and backup | The provider confirms supported instructions and the unavailable-recipient outcome |
| Routine messages | Required information, delivery destination and callback wording | The office can distinguish a delivered message from work someone has accepted |
| Acceptance | Named office approver, instruction version and open exceptions | The subscription and supported instructions refer to the same agreed scope |
Give each row one status: agreed, awaiting an answer or excluded. Avoid signing off a blank as if it meant “use your judgment.” If an instruction cannot be supported, revise the requested scope and caller wording together.
Separate a routine message from an urgent notification
Consider a fictional residential service office. A caller asks to move next week's visit. The office wants the caller's name, callback number and existing appointment reference delivered to its scheduling inbox. Its approved wording should make clear whether the office will review the request or whether an appointment has actually changed. A message arriving in an inbox does not itself change a booking.
For a different call the office marks as urgent under its own policy, write the recipient sequence and the outcome if nobody responds. Have the supplier confirm the supported steps. Do not let the words “contact backup” conceal an unanswered question about timing or the final destination of the message. The office must own any promise about attendance or callback.
These examples explain what to reconcile; they do not establish that Barbara's specializes in residential contractors or provides safety assessment. An office-defined urgent path is not evidence of emergency detection, clinical triage or a guaranteed response.
Compare Revo against the reception work you need
For a Revo comparison, carry over the routine intake and appointment requirements, then check them against Revo's published plans. The reviewed site lists scripts, hours and rules, appointment booking, SMS follow-up and call summaries. Team transfers appear on Crew and Fleet, while Solo excludes them. Confirm the supported booking setup and transfer fallback for your office.
Revo's published Launch Offer lists Solo at $87.50/month with 100 minutes, Crew at $175 with 200 minutes and Fleet at $350 with 400 minutes. Review current eligibility and rate duration. The different included minutes and workflows do not establish a like-for-like cost saving.
Do not carry one supplier's on-call process into another supplier's scope by assumption. If the deciding requirement is routine reception, compare the actual intake, booking and follow-up path. If it is a particular notification chain, get that requirement resolved separately before choosing.
Frequently asked questions
Can I calculate my bill from the displayed per-minute rate?
Obtain the supplier's billing explanation and written example before budgeting. An undefined meter cannot support an all-in estimate.
Is completing the form the same as accepting a working call flow?
Treat form completion, agreement acceptance and operational acceptance as separate office decisions. Record which instruction version the supplier supports, who approved it and any unresolved exceptions.
What if our office only needs routine message taking?
Define that smaller scope explicitly. Keep callback ownership visible, and remove language that could make callers believe a booking or dispatch has been confirmed when it has not.
