Nexa answering service: compare plans and quote scope

Nexa publishes receptionist plans with minute allowances, but the public plan labels do not supply a complete dollar quote. A useful buying review therefore needs two records: what the receptionist is authorized to do and how that work becomes a charge. Use the worksheet below to make those answers comparable.

Establish what the plan page actually tells you

Nexa’s official plans page lists Nexa 100, Nexa 300 and Nexa 500 with 100, 300 and 500 Voice Minutes respectively. It describes live coverage, scripting, appointment handling and other services, but a current dollar tariff was not established from the page reviewed October 27, 2026. Do not fill that gap with a price from an old comparison. Nexa plans

The same page defines receptionist work broadly enough to include post-call tasks. That makes a raw count of telephone talk minutes an incomplete proposal input. Start by asking what the quoted allowance covers and which work is billed separately. A plan’s number is an allowance label, not a dollar price or a promise of completed jobs.

Copy this request-for-proposal worksheet

Use one version of this original worksheet for each supplier. Write “not supplied” when a value or rule is missing. Keep the supplier’s written response with the effective date rather than replacing it with an assumption.

  • Scope: incoming call types, coverage hours, required questions and excluded work.
  • Authority: who accepts jobs, confirms appointments and approves changes.
  • Allowance: included units, reset period and whether unused allowance carries forward.
  • Usage definition: conversation, hold, transfer, outbound ringing, post-call work and other account activity.
  • Rates: recurring base, overage, setup and any separately quoted service or system charges.
  • Configuration: live/AI handling, escalation destination and availability of the business’s own staff.
  • Commercial controls: term, cancellation process, rate-change process and record access.

Ask Nexa to price the work, not just the conversation

Nexa’s published terms describe whole-minute rounding for time-based billing, work beyond talk time and possible service-plan-dependent charges. They also permit conversational AI support, with an opt-out process described in the terms. Confirm the applicable configuration and charges in the actual proposal rather than assuming that a live plan label settles every call path. Nexa terms, updated March 2026

Prepare three fictional events for the supplier to calculate: a new service inquiry ending in a message, an appointment request requiring scheduling work, and an attempted transfer to an unavailable employee. Supply the same assumed durations and actions to every supplier. Request a breakdown identifying the billable unit and any work added after disconnection.

Do not submit real customer information for this exercise. The request is for documented sample billing, not a test lead or permission to contact a customer. An unexplained total leaves the comparison unresolved even if the headline rate looks attractive.

Build ordinary-month and busy-month estimates

After receiving the written rates, create one worksheet for normal activity and another for a plausible busy period. Keep the workload assumptions fixed while comparing suppliers. Separate the first-period cost, including any setup charge, from ongoing recurring cost.

For a proposal explicitly using a base fee plus flat minute overage, a conditional calculation is: quoted base + max(billable minutes − included minutes, 0) × quoted overage rate + other quoted recurring charges. This is a worksheet structure, not a statement that every Nexa arrangement uses only these components.

Fictional example: a documented billing calculation produces 340 billable minutes against a 300-minute allowance. That leaves 40 excess minutes. Multiply by the actual quoted overage rate; leave the dollar result blank until the rate and additional charges are supplied. Do not use 340 raw talk minutes if the contract meters a broader workload.

Follow one home-service request to its owner

The proposal should show what happens when a homeowner reports a service need, asks for an appointment and then requests a person. Ask for the resulting office record: request details, appointment status, unresolved question and next owner. A natural greeting does not prove that the handoff worked.

Identify who maintains the script, who changes hours and what happens when the employee receiving transfers cannot answer. If a named software connection is part of the offer, require its precise data flow and responsibilities to be demonstrated. A logo or a broad integration label does not prove your proposed workflow.

Compare the relevant Revo scope without assuming parity

Revo’s current pricing describes AI answering, own-script rules, appointment booking and summaries. Transfers to the customer’s own team are listed on Crew and Fleet. Revo is a competing publisher here; these features do not establish a staffed receptionist network, Nexa’s broader outbound services or identical software access. Revo plans

Choose based on the work your office needs completed and the written terms that price it. A supplier with more services is not automatically a better fit, and an allowance with fewer units is not automatically cheaper. Keep any unanswered requirement visible before making the procurement decision.

Common questions

Make the next step clear.

Resolve the details that matter to your team and callers.

What does Nexa 100 cost?

A current dollar tariff was not verified from the public plans page. Nexa 100 identifies 100 Voice Minutes; obtain the applicable written price and billing rules.

Does the live plan description rule out any AI handling?

Do not assume that. Nexa’s published terms address AI-agent use and an opt-out process; confirm the configuration in the proposed service plan.
