Home-service answering decisions

AI receptionist for US residential architecture practices

Your practice may receive a prospective homeowner's call while the project architect is reviewing drawings with another client. Later, a contractor may call about a question on an active project. Both need a clear next step, but they do not need the same conversation.

An AI receptionist can help with approved front-office intake without taking on architectural decisions. This proposed Revo workflow is limited to US residential architecture practices: identify why the person is calling, collect the context your office approves and pass the request to the responsible person. It is not architectural advice, project administration software or a substitute for licensed professional judgment.

Separate a prospective commission from an active-project question

A new inquiry concerns whether the practice should discuss an engagement. An active-project call concerns work already assigned to particular people. Do not send both into an undifferentiated sales appointment queue.

Prepare this office-owned routing register before evaluating coverage. The register is a reusable planning resource, not a built-in product feature.

Contractor technical requestCompany, project reference, drawing or document reference if supplied, and callback detailsResponsible architect reviews through the practice's approved project process

A reference number does not authenticate a caller. Do not disclose project documents or client details on that basis. Your practice must decide how staff verify identity before sharing information or taking action.

Let consultation booking follow practice rules

List the residential project types and locations your practice considers. Decide what reception may say about the initial consultation, which questions belong in intake and who can accept an engagement. A caller's stated timeline is a preference, not evidence that the practice can meet it.

Revo's pricing page lists appointment booking alongside your script, hours and rules. Booking still requires a supported configuration and approved appointment type. If a slot cannot be confirmed, record the preference for office follow-up. Do not promise an architect's attendance, a fee proposal, a permit outcome or a project start date. Current Revo plans

Treat a technical call as a request for professional review

In a fictional demonstration, a contractor asks whether a wall opening can move from the position shown on a drawing. Reception can capture the caller's words and the supplied project and drawing references. It must not interpret the drawing, approve the change or tell the contractor to proceed.

A phone message also should not be described as a completed formal request for information. Ask your practice how such requests must be submitted and who records and answers them. Reception can explain your approved submission instruction; this page does not establish an automatic connection to that process or its software.

If a caller reports a safety concern, use the practice's approved safety wording and escalation instruction. AI reception should not diagnose a condition, determine structural safety or promise an immediate professional response. The practice needs a fallback when its designated recipient is unavailable.

Test professional boundaries as well as message capture

Use fictional information in an authorized provider demonstration. Include a new homeowner inquiry, a current client's request and a contractor's technical question. For each, inspect the summary, office recipient and stated next step. Check that the service does not turn a question into approval or claim that an unanswered transfer reached the architect.

Revo lists team transfers for Crew and Fleet, while Solo excludes them. That is a transfer to your team, not access to an outsourced architect or a human receptionist network. Confirm calendar support, message delivery and any necessary software workflow directly; no architecture-platform integration is established here.

Smith.ai also publishes an architect receptionist offering with AI and live arrangements. Its description can inform the service models you evaluate, but its staffing, payment and software claims are not Revo capabilities. Smith.ai architect reception

Choose reception rather than technical delegation

The buying question is whether routine intake and routing can be handled while your team retains professional decisions. If the required work is plan interpretation, substantive consultant coordination or formal project administration, evaluate those professional resources separately. The remodeling answering guide covers contractor estimate and construction-scope intake; this page instead organizes the architecture practice's commission and professional-review boundaries.

Questions before choosing coverage

Can reception answer code or zoning questions? This workflow does not authorize that. Capture the request for qualified review using your practice's approved process.

Does taking a technical message satisfy a formal project submission? Do not assume so. Use the practice's documented submission requirements and confirm receipt through the responsible team.

Does a transfer guarantee an architect is available? No. Define an unavailable-recipient fallback and avoid promising a response time the practice has not approved.
