What is a service call? Separate the visit from the work

A service call is a contact or visit concerning a service need, depending on the business’s usage. When arranging field work, explain exactly what the proposed visit includes and what still needs approval.

Ask what the business means by the term

A phone request, an assessment visit and a repair appointment are different events. A customer may use service call to mean any of them. Clarify the requested outcome before discussing a time.

Original question: “Are you asking about arranging an assessment, checking an existing appointment or following up on work already done?” Use the categories your business actually supports.

Explain the visit scope

State the approved purpose and any documented conditions of the visit. An assessment does not by itself promise that a repair will be completed that day. A customer’s description does not establish a diagnosis.

If an approved visit or diagnostic fee applies, explain it using the business’s current wording and terms. Do not infer a total repair price or how a fee will be credited. The dispatch-fee guide addresses that conversation in more detail.

Collect the details that make the next step possible

Record the service property, requested work in the customer’s words, contact route and relevant access information. Keep preferences separate from confirmed arrangements. Send technical questions to the authorized person.

Fictional note: “Customer requests assessment of an intermittent problem; weekday morning preferred; coordinator to check availability.” That note is useful without pretending that a visit has been confirmed.

Close with the actual status

Tell the customer whether a request was collected, a visit confirmed or a question assigned for review. Name the supported next step and any information still needed. Never present an unanswered request as completed work.

Revo’s published Services and Pricing describe answering and intake. Confirm the plan and setup for booking or transfers separately; the term service call does not establish technical diagnosis or field-service capability.

Common questions

Make the next step clear.

Resolve the details that matter to your team and callers.

Does a service call always include a repair?

No universal scope applies. Confirm what the business’s offered visit includes before relying on that expectation.

Is requesting a day the same as booking it?

No. A requested date requires the supported availability and confirmation process.

Explain the visit the customer is actually arranging.
