Call transfer language
Call transfer script and handoff language
Call transfer language should tell the caller what will happen and give the recipient useful context. Match the wording to the actual transfer method and the receiving person’s availability.
01 / Call transfer language
Explain the next step and ask about holding.
Before a transfer, state the reason for involving another person. Useful wording is “I can try to connect you with the team for that question. Are you able to hold?” Use it only when trying that connection is supported by the business’s rules.
A transfer attempt is different from a promise that someone will answer. Avoid telling the caller a technician is ready, a request is urgent enough for dispatch or a quote will be available unless the responsible person has confirmed that commitment.
02 / Call transfer language
Brief the recipient when the method supports it.
For an attended transfer, provide the request and essential context before connecting the caller. A concise structure is the reason for the call, verified contact details and the decision the caller needs. Do not add guessed facts to make the briefing sound complete.
A blind transfer may not support a spoken pre-brief. Confirm the available handoff information and avoid saying that the recipient has already been briefed when that is not true. Keep the recipient’s accepted role separate from the general intake script.
03 / Call transfer language
Give an unavailable-recipient response.
If the connection is not completed, explain the supported next step. “The team is unavailable to take the call now. What is the best number for a callback?” is appropriate when a callback request is the actual fallback. State response timing only if the business has authorized it.
Revo lists transfers on higher tiers. Confirm the supported method, recipient behavior and unavailable fallback directly. Test the wording with authorized participants, including the case where the receiving person cannot answer.
Common questions
Make the next step clear.
Resolve the details that matter to your team and callers.
Should I say the recipient has all the details?
Only when that briefing or information delivery has actually occurred through the supported process.
Can these phrases be used for every transfer?
Adapt them to the approved business rules, supported transfer method and real fallback. Do not make availability promises the team has not authorized.
