Before the conversation

Call whisper messages for home service teams

A pre-connect call whisper is a brief message delivered to the person answering before the caller joins the conversation. CallRail documents recipient-only whispers that can identify the marketing campaign associated with a call. This guide focuses on that source-and-context use case.

01 / Before the conversation

What a pre-connect whisper means

For a home service office, a cue might identify the number or campaign the caller reached. It should help the office choose an appropriate opening without pretending to know the customer's problem. A call to a drain-cleaning campaign number is still an inquiry until the caller explains the request.

02 / Before the conversation

Tie each announcement to a known input

Create a mapping sheet with the source number or verified system field, exact phrase, maintenance owner and condition that requires an update.

Original examples for a system supporting the required mapping:

The first three identify how the call arrived. The fourth describes information already collected. Do not treat a campaign label as confirmed intent. “Replacement sale ready to book” would be inappropriate unless that status had actually been established.

When one number is reused across campaigns, a static phrase cannot reliably distinguish them. Ask what information the tracking or phone provider can establish for that call. Keep the source unknown when it cannot be established.

03 / Before the conversation

Separate whisper, screening and an attended handoff

Provider terminology overlaps. Twilio describes a pre-connect message that can supply source or purpose information and, in a supported implementation, let the recipient accept or reject the call. A product may therefore group whisper functionality under screening.

For the office policy, distinguish the jobs:

Hearing an announcement does not prove an attended handoff occurred. Ask what the feature does rather than relying on its name. Also clarify whether “whisper” means live staff coaching in the product being evaluated; that is different from this pre-connect use.

04 / Before the conversation

Test both sides of the connection

Have an authorized caller and recipient test the same flow. The recipient should hear the correct cue, know when the caller has joined and begin naturally. The caller should hear the expected ringing or waiting audio.

Test each source number, missing source data, an unanswered recipient and a destination that reaches voicemail. Inspect the results rather than assuming audio behaves correctly through every forwarding hop. Check that a retired campaign cannot keep producing a misleading label.

Keep the cue short enough to help without becoming a second intake conversation. Avoid private customer details that could be overheard on speakerphone or left in an unintended mailbox. Test pronunciation of business and location names.

05 / Before the conversation

Evaluate the phone layer separately

Revo's published answering and handoff categories do not verify native whisper audio or compatibility with a particular tracking provider. Confirm the proposed connection path directly. A source cue does not replace accurate intake or ownership of the next step.

Common questions

Make the next step clear.

Resolve the details that matter to your team and callers.

Does the caller hear the whisper?

In CallRail's documented pre-connect implementation, only the recipient hears it. Verify the chosen provider's behavior; similar labels can mean different things.

Does the cue prove which ad caused a booking?

No. A configured source cue is not proof of a booking or revenue attribution. Source, inquiry and business outcome remain separate records.

Can it replace a warm transfer?

It can supply context, but does not prove an attended briefing or acceptance occurred. Compare the actual workflow with the handoff required.
