Vonage Business Communications setup
Vonage virtual receptionist setup: menus and exceptions
Vonage calls this feature a Virtual Receptionist: an automated menu that routes calls using configured schedules. This guide concerns that menu system, not a conversational AI service that collects a home-service request. The setup below combines documented controls with a proposed acceptance test for an office administrator.
| Case | Expected behavior to write down | Observation needed |
|---|---|---|
| Public number called | Correct Virtual Receptionist and normal schedule | Greeting and final endpoint |
| Caller presses an announced key | Destination listed in the approved menu map | Actual extension, mailbox or outside number reached |
| Caller gives no input | Configured wait, repeats and final action | Result after the final permitted attempt |
| Operator-first destination does not answer | Configured attempt ends and the intended flow continues | Whether another feature intercepted the call |
| Temporary schedule ends | Normal schedule and call flow resume | Normal greeting and route restored |
01 / Vonage Business Communications setup
Create the receptionist and save its general settings.
An authorized Super User or Account Administrator uses the Admin Portal, not the mobile app. In Virtual Receptionist, select Add New. Complete General Settings: name, extension, applicable location, associated telephone number and No Caller Input Handling; click Save.
Before editing an existing setup, record which public business number should reach this menu and how it currently behaves. Have the authorized administrator confirm the selected account and receptionist. Do not create a second menu merely because an employee cannot find the first one in the mobile app.

Choose the no-input result before polishing the greeting.
For no input, set the wait, repeats and final action. Outside-line forwarding is documented at $0.03/minute, with international rates applicable.
For a proposed repair-office menu, write the action beside each announced key. Then write the outcome for a caller who makes no selection. Read the recording against that map: if it promises that the office will receive a message, the configured result must actually reach the intended mailbox. A greeting alone does not create that delivery path.

Add the schedule and call flow, then finish and save.
Under Schedules and Call Flows, select Add New. Name the schedule; choose All Day or Specify Hours and Dates, recurrence and ending. Select Next or Call Flow. Apply an available shared flow, or name a new flow, choose Live Operator settings, routing behavior and greeting. Click Done. If applicable, edit After Hours Schedule through its three-dot menu and configure that flow; click Save. Controls verified October 23, 2026 against the article updated April 15, 2026.
Use one concrete exception to check the design. Suppose an office closes for a team meeting while its normal weekday hours remain open. Identify the exception schedule, its intended end and the flow it should select. If an operator-first attempt is used, observe whether the menu resumes when that person does not answer. These are proposed tests, not evidence that any particular account is already configured.

Accept the changed route with a short call record.
Choose a provider-supported test method and an agreed window. With consenting test callers, call the associated business number and record the expected schedule, greeting, key selected and final endpoint. Include a call with no input and an unanswered operator-first attempt if that option is enabled.
Have the administrator compare the result with the saved design before directing customer traffic to a new route. Preserve the previous settings and the account-specific restoration instructions. After an exception ends, confirm that the normal flow resumes and that no temporary announcement remains in the caller path.
Common questions
Make the next step clear.
Resolve the details that matter to your team and callers.
Can an employee edit the Virtual Receptionist from the Vonage mobile app?
Use the portal workflow above with the authorized account administrator; this guide does not provide mobile editing instructions.
Does the name Virtual Receptionist mean it collects service requests conversationally?
This documented feature is an automated menu and routing system. A separate service’s ability to collect a request should be evaluated separately.
Why test a caller who presses nothing?
That caller follows the configured no-input path. Testing only a successful menu selection leaves that outcome unchecked.
