Workiz Genius Answering: transfers and the fallback

For a service business already using Workiz, choosing AI answering means choosing where the conversation and its records live. Genius Answering is built into Workiz. A separate answering service may use a different phone path and handoff. Compare the point where a person takes over, especially when the requested team member cannot answer.

Start with the Workiz workflow you want to retain

Workiz describes Genius Answering as an embedded product that can handle calls and booking tasks. Its settings documentation says new appointments can be saved as jobs or leads. Before comparing it with another provider, decide which result your office requires. A lead awaiting review and an accepted job are different outcomes.

Ask Workiz to demonstrate the proposed configuration with a fictional service request. Record where the customer, service location and requested work appear. If you want to retain Workiz as your operating system, compare the complete office handoff rather than only how natural the opening conversation sounds.

Compare validated and automatic transfers

Workiz documents an optional validation step before transferring. With validation enabled, the receiving person hears the request and can accept or decline. Without it, the requested person is connected automatically when they answer, without that briefing. Confirm the setting in the proposed account rather than assuming every transfer is attended.

Use three fictional calls in the demonstration: a request for the owner, a request for a named employee and a general request for a person. Decide which recipients should be offered each call. A transfer rule must not imply that the owner or a technician is always available.

Inspect what happens after an external transfer

Workiz warns that a call transferred to an external number cannot reenter its original flow. It says transcription is available up to the transfer, while an unanswered external call can reach that number’s voicemail. A call log is therefore not proof that the office retains the complete later conversation or voicemail.

This is the most useful exception test for an owner whose destination is a personal mobile. Arrange an authorized test where that recipient does not answer. Inspect the caller’s experience and where the unresolved message can be accessed. Do not accept a successful ringing test as evidence of a working no-answer process.

Write an original handoff card with five fields: reason for involving a person; requested destination; whether acceptance is required; record available after transfer; and owner of an unanswered request. Fill observed outcomes only after the demonstration.

Compare a separate answering service on the same boundary

If Revo is on your shortlist, ask it to demonstrate the exact answering, booking and transfer actions available in your proposed plan. Its general field-service connection label does not establish a Workiz integration, a particular transfer mode or continued recording after the handoff. Leave those requirements unresolved until confirmed.

Compare three deliverables in each proposal: the request or job record, the person receiving an exception and the no-answer outcome. Also obtain the relevant phone prerequisites, usage unit and service terms directly. This guide does not reproduce an unverified price or claim one provider produces better results.

Use the existing Revo Services and Pricing pages to scope the answering offer. Choose the setup whose demonstrated handoff matches the way your office works; keep software migration and customer-call routing as separate decisions.

Common questions

Make the next step clear.

Resolve the details that matter to your team and callers.

Does this guide establish that Revo integrates with Workiz?

No. Confirm the named platform, supported actions and plan directly. A general integration feature is insufficient evidence.

Is an external transfer the same as keeping the caller in Workiz?

Workiz documents a record boundary when a call leaves its flow. Test the destination and no-answer outcome before relying on it.

Review the proposed answering workflow against your own operating rules before routing customer calls.
