Ooma receptionist options: menu, AI answering or AI Receptionist?
Ooma uses three similar names for different call-handling products. Choosing the wrong one can leave a service-business office expecting a booking or transfer that the selected option does not provide.

Description: Distinguish Ooma’s Virtual Receptionist, AI Answering Service and AI Receptionist before choosing message taking, transfers or appointment booking.
Start with the required outcome: a menu that directs the caller, a message for office follow-up, or a conversational workflow that can perform a supported booking or transfer. This guide reviews Ooma’s official documentation as of October 23, 2026; it is not a hands-on test or a claim that Revo connects to Ooma.
Identify the exact product in the proposal
Ooma’s comparison page distinguishes these capabilities:
| Product | Documented distinction |
|---|---|
| Virtual Receptionist | Pre-programmed menu/directory routing and menu-based information |
| AI Answering Service | Built-in intake questions and up to five FAQs; no booking or call transfer in the comparison |
| AI Receptionist | Up to five customized intake questions, 50 FAQs or knowledge-base answers, booking by SMS link or speech, and transfers by schedule, context or directory |
The comparison also distinguishes a single call-log notification recipient for AI Answering Service from multiple topic-configurable recipients for AI Receptionist. These are Ooma’s product descriptions, not performance guarantees. Ooma product comparison
Ask the seller to use the exact product name in the quote and demonstration. “AI” in a proposal does not establish that appointment booking or a transfer is included.
When a menu is the required tool
Ooma’s Virtual Receptionist documentation describes schedules that route calls to a menu, an extension or voicemail. Menu buttons can play announcements or transfer callers. Its default main-number setup includes a personalized text-to-speech greeting. Ooma Virtual Receptionist overview
That can be the relevant arrangement when the caller already knows which department or person is needed. It is a different task from asking conversational intake questions about a service request.
For a fictional contractor, a menu may direct a current customer to the office and provide an after-hours message. Before adding more branches, check whether callers can reasonably choose an option and whether the destination handles the resulting request. Do not add menus merely to make the setup appear more sophisticated.
When message taking is enough—and when it is not
If your business only needs a request captured for later review, describe the minimum information the office requires and who will receive it. If a caller needs a live transfer or an appointment completed, do not substitute message capture and report the task as done.
Ooma’s AI Answering Service and AI Receptionist distinctions are particularly important here. Ask the provider to show the result of each proposed workflow: a notification, an office request, an SMS link or a confirmed appointment. The caller should hear language that matches that result.
A booking link is not a completed booking. If the chosen configuration sends a link, identify who owns follow-up when the customer does not use it. If it books through speech, inspect the authorized calendar result and the rules controlling it.
Separate product availability from record access
Ooma’s AI Receptionist overview says the add-on is available for accounts in any Ooma Office service tier at an additional monthly price. The same overview says its call transcriptions and summaries are available in Office Manager for Pro Plus customers. Ooma AI Receptionist overview
Those statements answer different questions: whether the account can buy the service and where particular records can be reviewed. Do not infer that every Office tier gives the same review experience.
Ask for the complete offer, separating the underlying Office plan, the selected answering product, included usage and any additional terms. This guide does not establish a current add-on dollar amount or an overage rate.
If your office relies on summaries for next-day work, have the seller demonstrate how the intended staff member accesses them on the proposed plan. Access that exists only in a different tier does not solve the requirement.
Check who receives urgent and ordinary work
For each call type, define the destination and the permitted action. An urgent service request, a question about an existing job and a new estimate inquiry may need different owners.
Do not turn topic-based routing into a promise that an employee has accepted the work. Ask what happens when the destination is unavailable and how the office can see that follow-up remains outstanding. Keep any life-safety instructions within the business’s reviewed procedure rather than improvising technical guidance through an answering configuration.
For multiple locations, identify the correct office and property before confirming the next step. A caller reaching an agent does not prove that the request has reached the branch responsible for it.
Request an outcome-based demonstration
The following are proposed checks, not tests performed for this article. Use authorized non-live arrangements with fictional details; do not alter a production phone route just to follow this guide.
- Menu selection: Where does each relevant option end, including no selection or an unavailable extension?
- Routine inquiry: Does the selected product capture the information your office actually needs?
- Booking: Is the result a link, a request or an authorized calendar entry?
- Transfer: Is transfer supported by the exact product, and what happens when no one answers?
- Notification: Does the intended recipient receive the appropriate topic and next action?
- Record access: Can the responsible staff member review the necessary information on the quoted Office tier?
Keep the expected result beside the observed one. A successful message-taking demonstration does not establish booking or transfer functionality.
Choose the required scope—not the closest-sounding name
Use Ooma’s menu option when the documented menu workflow meets the requirement. Evaluate its AI answering options against the specific intake, action and records your office needs. Ask for missing account or plan details rather than assuming that the highest-sounding product name includes everything.
When comparing with Revo, use current Revo plans and confirm the actual supported call path. This guide does not verify a Revo–Ooma integration, setup procedure or feature equivalence.
Does Ooma AI Answering Service include the same booking and transfers as AI Receptionist? Not according to the official comparison reviewed for this guide.
Does buying the AI Receptionist add-on settle the record-access question? No. Confirm how the quoted Office tier exposes the information your team needs.
Is an SMS booking link a confirmed appointment? No. Verify the completed booking in the authorized system.
