AI appointment booking for home service calls

Make the appointment status clear before the call ends.

An AI appointment booking flow needs more than a preferred date. Your office must decide which services can be scheduled, which times are available and what still requires a person’s confirmation.

01 / Scheduling rules

Separate three different outcomes.

Revo’s published plans list appointment booking. A useful implementation still depends on the approved schedule, business rules and supported setup. No particular calendar or field-service integration is assumed in this guide.

  • Appointment request: the caller shares a preferred window; availability has not been confirmed.
  • Confirmed appointment: an authorized slot has been accepted under your booking rules.
  • Dispatch: your operation assigns and sends a technician; a booking alone does not establish that action.
02 / Scheduling rules

Write the rules before opening the calendar.

Define the service types, ZIP codes, duration allowances, working hours and buffer time your team actually supports. Decide which requests need an office review rather than immediate confirmation.

  • Separate an estimate visit from a repair appointment.
  • Set policies for existing bookings, changes and cancellations.
  • Document who can confirm a slot and how exceptions reach that person.
  • Define the fallback when availability cannot be checked.
03 / Scheduling rules

Walk through an illustrative service request.

A caller asks for a plumbing visit on Friday afternoon. The flow first checks that the requested work and property location fit your business, then collects contact details and a preferred window.

If the setup cannot confirm an authorized opening, the outcome stays a request: “The office will review your preferred window.” If a supported setup confirms a slot, restate the agreed date, time window and next step. This example is a proposed operating flow, not a verified Revo booking result.

04 / Scheduling rules

Test exceptions as carefully as ordinary bookings.

Review a full calendar, a caller outside the service area, a reschedule and an unavailable scheduling connection. Confirm that the caller hears the correct status and your office receives enough information to act.

Never use the flow to invent a repair price, diagnose a fault or promise emergency attendance. Those decisions remain within your approved service policy.

Review the details before choosing how your business handles calls.

Check the next step
Is a preferred time a confirmed booking?

No. A preferred window is a request until your authorized process confirms availability.

Does booking mean a technician has been dispatched?

No. Dispatch is a separate operational action involving assignment and field availability.

What happens if availability cannot be checked?

Use the reviewed fallback: collect a request for office confirmation and explain that the visit is not yet confirmed.
